7 Steps on How to Make an Effective Checklist
People with checklists complete their daily tasks, on average, 40 - 50% quicker than those who don't use a checklist.
Creating an effective checklist is the key to completing tasks more efficiently.
The After Fajr Grind Academy have put together the 7D steps which will help you make an effective checklist:
1. Download
2. Divide
3. Develop
4. Devote
5. Detail
6. Define
7. Debrief
Step 1 - Download
Write down all the tasks, projects, goals, and to-dos which you need to complete.
Step 2 - Divide
Separate everything into 3 - 5 major tasks for the day.
Follow the Eisenhower Matrix to manage your time allocated to each task based on importance:
- Urgent and Important
- Not Urgent but Important
- Urgent but Not Important
- Not Urgent and Not Important
Step 3 - Develop
Start everyday with a simple 5 - 15 minute morning routine list, which will help your brain wake-up and move into a productive state.
An example:
- Pray
- Water
- Fruit
- Breakfast
- Stretch
- Jog
Step 4 - Devote
Allocate time for each task.
For example (depending on the intensity of the task):
Work for 90 minutes and then take a 15 - 20 minute break or
Work for 25 minutes and then take a 5 minute break
Step 5 - Detail
Marry each task to a goal.
For each task, ask why does it need to or has to be done. Knowing the why behind each task links it to your goals.
Goals = motivation = more productivity
Step 6 - Define
Keep your list simple:
3 - 5 major tasks for the day
1 - 2 minor tasks for the day
Busy does not mean productive. This will prevent burnout, and will keep you motivated.
Step 7 - Debrief
Tick off completed tasks.
Be thankful for what you have completed.
Move tasks which were missed or not completed to the next day's list.
